Speaker information

A Windows PC with PowerPoint 2013, Adobe Reader and a projector will be provided. When saving your PowerPoint file for the presentation, please make sure that:

1. All fonts have been embedded (tick the relevant box in the file saving options).

2. All externally linked graphics and video files are present in the same directory as the presentation file. The best way of doing that is to use “Export/Package for CD” option.

It will also be possible to attach speaker’s own laptop to the projector. The projector has a standard VGA connector. If your laptop has a DVI, HDMI or ThunderBolt output, please make sure that you have an appropriate adapter with you. A laser pointer will be provided. If you require any other equipment, please inform conference organisers. Please test your presentation and/or your laptop the day before your talk if at all possible — this would give us time to resolve any unexpected issues.

The duration of lectures is 60, 30, 20 and 15 min for Bruker, Keynote, Invited, and all other lectures, respectively.

 

Poster presenter information

Posters will be displayed in the gallery connecting the old and the new Wivenhoe House buildings, just outside Garden Suite, where all sessions will be hold. Poster boards are A0 portrait format. The posters can be set up on Monday morning from 08:00; they will have to be taken down on Thursday before or shortly after lunch. Velcro stickers to attach the posters to the boards will be provided. Poster numbers will be displayed on the boards. There will be two poster sessions at the conference, for even and odd posters. The posters will be on display throughout the conference, and coffee breaks/receptions will be held near the posters.

 

Accommodation, transport and meals

Wivenhoe House will be home to about 20 participants during the conference. Most people will be accommodated in the hotels in the town centre. Transportation will be provided every day to get from the hotels to Wivenhoe House in the morning and back in the evening. Names and addresses of the hotels are given on the Travel Information page. All rooms will be booked with the breakfast option included.

Please note that no transport will be arranged from the hotels to Wivenhoe House on the first day (Sunday). You should make your own way to Wivenhoe House where the conference registration and RSC reception will take place. Please use buses or a taxi (see more on these on the Travel Information page).

 

Internet access

University of Essex has a good coverage by the Eduroam WiFi system, so many participants will be able to use their domestic credentials to connect to the Internet. Alternatively, Wivenhoe House has its own free WiFi network; details will be made available closer to the conference start. All four hotels in Colchester have free WiFi networks.

 

Car parking

If you plan to come to the conference by car and would need free parking, please state it at the time of registration (there is a box to tick in the payment form, this would not incur any additional charges). Not all of the hotels have car parks, so we would need to know if you need one in order to accommodate you at the right hotel. Wivenhoe House has a car park that will be free for conference attendees.

 

Taxis

Taxis can be ordered from hotel receptions. Telephone numbers of several taxi services in town will also be included in the conference pack.

 

Checking out and left luggage

The delegates are expected to check out on Thursday morning. It will be possible to store the luggage in a room at the conference venue on Thursday until the end of the conference. Luggage may also be left at hotel receptions.
